- The import routines were
modified to accommodate for discrepancies in the Fall 2006 Pearson Non-Writing
SPBQ Tests layout between districts and the optional use of a A-D/1-4 Response
set.

cumulative 8th grade Math and Plain English Math are set under a
“2001C” standard. This allows the system to differentiate cumulative tests
from non-cumulative and apply the appropriate cutoff for the Modified Standard
Diploma on Special Ed students.

School Name displaying “#Error” if the Student Demographic

- The import routines were
modified to accommodate for changes in the Spring 2007 Pearson Non-Writing

- Modified the SPBQ import to
accommodate for changes made to the structure of data files. SPBQ for all
tests (MC, Writing or EOC) now fall under the same End-of-Course SPBQ format.
- Fixed a problem on the
Overview of Student Test Scores screen where items from both tests
were sometimes showing up in the list when the student took two
administrations of the same test during the same period.
Build 81
- The import routines were
modified to accommodate for changes in the Pearson Non-Writing Tests layout
(formerly EOC).
Build 80
- The calculations for meeting
the Modified Standard Diploma requirements were changed in accordance with
Supts. Memo 156 August 11, 2006. The required score for 8th Grade
English RLR (2002 Standard) was set to 371 and 8th Grade Math and
Plain English Math (2001 Standard) were set to 344. The older required scores
for the 1995 Standards of the tests remain set at 299 and 360
(respectively).
Build 78
- Fixed a problem with loading
Test Formats related to the SPBQ descriptor changes.

- Fixed issues with the
PERFORMANCE BY QUESTION, MULTI-YEAR and PERFORMANCE BY QUESTION, MULTI-YEAR,
BY SCHOOL reports (QuickFinder Codes: RCOQXG and RCOQXSG).
Build 76
- Due to a change by Pearson
to SPBQ data, item descriptors are no longer unique and may overlap between
various tests while using different question text. In order to accommodate
for this change, we have had to implement significant changes to the way in
which SPBQ data is indexed within the system. These changes require that all
SPBQ data from Spring 2006 and on that was imported with a version prior to
build 76 be deleted and then re-imported in order to use the newer system.
The Data File Update will prompt about this if any SPBQ data from
Spring 2006 and on is detected within the system and offer to delete the
data. The SPBQ data will then need to be re-imported. Note that this process
does not delete the original test records --- only SPBQ.
- The import routines were
modified to import Virginia Alternate Assessment Program (VAAP) tests
under the newer Pearson format, as well as to accommodate the change to a
scaled score similar to SOL tests. In addition, VAAP tests were added for all
levels between grades 3 and 8 as well as End-of-Course in English, Math,
Science and Social Studies.
- There was an error message
being generated whenever trying to use the AutoFind Duplicates feature
of the Work with Merge List utility.
- An error when attempting to
load a Saved Search has been fixed. In addition, some of the saved
searches were using field names that have changed. These are updated by the
Data File Update.
- 8th grade English
RLR tests under the 2002 standards were linked to the Reporting Categories of
the 1995 standard by the import routines. The Data File Update will
correct this and link them to the Reporting Categories of the 2002 standard.
- Added the PERFORMANCE BY
QUESTION, MULTI-YEAR report (QuickFinder Code: RCOQXG) which is similar to
RCOQXSG but does not group by individual schools.
Build 75
- The NCLB WORKSHEET, ADEQUATE
YEARLY PROGRESS reports (QuickFinder Codes: PRNCLB and PRNCLBS) were modified
to include Special Ed Proxy bonuses when all other reported NCLB subgroups
meet or exceed the AYP target. This applies to 2005-06 testing only.
- Added the 3 YEAR AVERAGE, 3
YEAR AVERAGE BY SUBGROUP reports (QuickFinder Codes: PR3YR and PR3YRS) to be
used to determine if schools or districts that do not make AYP by the subgroup
proficiency rate make it by averaging the last three years. This report
includes the Special Ed Proxy bonus when applicable.
- 3rd Grade English
RLR under the newer standard was not appearing on any of the STRENGTHS &
WEAKNESSES reports. This was due to no “strong” score being specified for it
within the system. The Data File Update process will remedy this.
- Modified import routines to
accommodate for changes to the Stanford English Language Proficiency (SELP)
test files.
Build 74
- On the Overview of
Student Test Scores screen, if selecting the “General Achievement (No
Retest)” Include filter, records that are marked as Transfer
were not being highlighted orange to indicate that they were excluded. If the
Hide Other Records checkbox was checked, Transfer records would
be properly excluded from the displayed records. This issue is only related
to this screen and with this particular filter set. It did not affect printed
reports. The problem has been fixed.
Build 73
- The NCLB WORKSHEET, ADEQUATE
YEARLY PROGRESS reports (QuickFinder Codes: PRNCLB and PRNCLBS) were
double-counting students administered a VGLA test for the Participation
column. Both the excluded SOL record (with Score of 914) and the VGLA record
were tallied in their respective rows. This has been fixed.
Build 72
- Added VGLA tests for English
and Math at grades 4, 6 and 7 .
Build 71
- Changed the AYP report
filtering to include tests marked as Recovery from the 2005-06 school
year and on. This change was made due to the fact that students that fail
either 3rd or 5th grade tests are then remediated and
administered the 4th or 6th grade tests (respectively)
the following year. These tests are marked as a Recovery, but are not
a retest, so are included in AYP calculations .
Build 70
- Modified the import routines
in order to compensate for a change in the Test Number import field for
LEP Math tests at various grade levels as well as the Retest import
field.
Build 69
- Fixed an issue with the mis-assignment
of Writing domain scores to the wrong test when multiple writing tests for the
same testing period are imported.

- Added Reading and Math SOL
tests for grades 3 through 8 under the 2002 standard. Also added Plain
English Algebra I.
- The SOL Test Status
tally on the Individual Test Scores screen has been modified to
display tallies for Reading and Math in grades 4, 5, 6, 7, 8 and EOC.

- Fixed a problem with the
“Smart Swap” feature of the merge utility.

- Modified the import routines
in order to compensate for a change in the way Document ID’s are used.

- Fixed an import error
related to the newer Hawaiian ethnicity code overrunning the length of the
ethnicity field.
- The PRINT TEST SUMMARY
report from the Individual Test Scores screen was displaying an
error message, although the report would generate. However, there was another
problem with this report related to users assigned rights to specific schools.
This issue has been fixed.
Build 64
- There was a problem with the
SOL TEST SUMMARY reports (QuickFinder Codes: SU, SU2, SU3, SUS, SUS2 and SUS3)
when specifying a Fall testing period. This has been fixed for both SU and
SUS, and the season filter has been removed for the others as it is not
conducive to their layout.
Build 63

Reporting Category entries were created for the 2003 standard of the English
RLR End-of-Course test.
Build 62
- Several new reports were
added for Stanford English Language Proficiency (SELP) tests.
Build 61
- A problem in build 60 that
was preventing the import of End-of-Course data has been fixed.
- There was an issue with an
error message when using a stored Advanced Search as the basis of a
report. This has been fixed.
- The LISTING OF VERIFIED
CREDITS EARNED, BY STUDENT report (QuickFinder Codes: GRVCLST) was modified to
display “EX” in lieu of the score for excluded students (900 scores), and to
display “Pass” for students that passed in a previous administration (Score
999).
- Several of the reports under
GUIDANCE AND REMEDIATION REPORTS, VERIFIED CREDITS grouped data on each report
by the testing school, even though the District, Area and School filters
applied to the student’s enrollment school. These reports have been changed
to group by the student’s enrollment school and display tests regardless of
where taken.
Version 4.2 (Build 60)
- Report filtering has been
significantly changed due to changes made by the DOE. There are no longer any
Adjusted or Unadjusted filters for reports. These have been
replaced with the following presets:
- All Test Records:
This includes all records within the system (including DNA’s), and is
typically used when analyzing the complete testing histories for students.
- State Accreditation (SOA):
Designed to match the state’s requirements for SOA reporting.*
- General Achievement:
Designed to analyze general achievement and improvement of your student
population, without excluding many of the students that AYP or SOA filtering
uses. This set includes any type of retest, as well as the original test.
- General Achievement (No
Retests): Designed to analyze general achievement and improvement of
your student population, without excluding many of the students that AYP or
SOA filtering uses. This set uses only first test administrations (no
retests).
- Adequate Yearly
Progress (AYP): Designed to match the state’s requirements for AYP
reporting.
Keep
in mind that you can still use the Advanced filtering checkboxes by unchecking
all of the presets mentioned above. In addition, several new Advanced filtering
checkboxes have been added (most are self-explanatory).
* Note: SOA filtering uses additional filters behind
the scenes. The Advanced filters displayed do not exactly match the filters
when the specific SOA preset is selected. The preset will use applicable rules
depending on when tests were administered. Starting in 2005, passing SOA LEP or
SOA Transfers are included. Prior to 2005, no SOA LEP or SOA Transfers are
included. For all years, passing Retests are included. Any test marked as
Excluded or assigned to “Special Situation” school (code 8888) is not included.
Passing Recovery tests are included as well and are added to the numerator only
on pass rates calculations. Any percentage exceeding 100% due to the bonus
factor for Recovery tests will be truncated to 100%.
- The process by which records
are flagged for use on AYP reports has been modified to bring SOL Tracker into
alignment with the body of tests that are being used by the state for
reporting. Specifically, this includes the following changes:
- SOL Tracker previously
identified first-test administrations based on each student’s testing
history, regardless of inappropriately marked data (i.e.; Retest
marked when it should or should not have been marked). This has been
changed to use the Retest field as explicitly marked within the data.
- Beginning in 2004-05, a
passing Expedited Re-Take can replace a failing test taken during the
same general testing period (i.e.; Spring 2005).
- Tests that were marked as
SOA Transfer are excluded from AYP at both the district and school
level, even if the AYP Adjustment Category was not marked as a
transfer.
- Stanford English Language
Proficiency (SELP) data was not imported properly for Spring 2004 or 2005
due to the way in which the state required districts to code special meanings
in the “Other Information” field and the special way in which several fields
were used. This data will need to be re-imported using the current build in
order to correctly interpret this special data. SELP tests that have been
marked as substitutes for the English RLR test will add an additional “SELP
Reading” test to the system that contains only the Reading component score.
This test only will be used for SOA and AYP reporting. During 2004, any SELP
test (regardless of form or accommodations) marked as an RLR substitute will
be included on AYP and SOA reports. During 2005, any form A (with or without
accommodations) and any form B (without accommodations only) that is marked as
an RLR substitute will be included as well.
- Virginia Grade Level
Alternative (VGLA) data can now be imported into the system. Reports for
these tests are under the VAAP & VGLA button of the
Printed Reports, Graphs & Charts screen (formerly the Alternate
Assessments button). These tests are also included on the NCLB worksheet
reports.
- The import mechanisms were
modified to accommodate for the new consolidated Harcourt data format that
combines End-of-Course and Multiple-Choice data. Note that this
new format is just a modification of the existing End-of-Course
formats, so will continue to be identified by the system as such.
- Until the current build, all
English Proficiency data for SOL’s was being derived from the SOA LEP field
within the Harcourt data. This may have resulted in some students not being
included in LEP groupings. In addition, starting in Fall 2004 the state added
further classification of the particular LEP status (versus just a Yes/No type
of field). This included coding monitor status LEP’s as well as Level 1-4
LEP’s. In order to compensate for this, a new LEP Status field has
been added to the system that will track a student’s particular LEP status
(i.e.; Level 2, Monitor Year 1, etc.). Due to the variety of testing data
sources and varying levels of detail, many of these LEP classifications will
overlap (for example “Level 1” and “Levels 1-4”). The current LEP field
is now being used to track SOA LEP status. All AYP reporting for the
NCLB LEP subgroup will now use the LEP Status field and group any
particular LEP Status other than “English Proficient” within the NCLB
LEP subgroup. For general reporting using Select Field reports, either LEP
field may be used (LEP Status or SOA LEP). Any data currently
in the system marked as SOA LEP will be set to an LEP Status of
“Other LEP Status” during the Data File Update process. Any new or
re-imported data using the current build will properly assign the LEP
Status field based on what is reported in the data. However, users can be
confident that the SOA LEP field for all data will be an accurate
reflection of the SOA LEP status reported in the testing data. It is
up to users as to whether it is beneficial to re-import data to pick up the
particular LEP Status information.
- On the Overview of
Student Test Scores screen, the new Filter By…Include selector
has been added. This filter allows you to automatically filter the displayed
records similar to report filtering. This feature will allow you to quickly
identify those tests that are included on such reports as SOA and AYP, plus
others. The Hide Other Records checkbox is used in conjunction with
this filter. When checked, all records not included in the filtered set will
not be displayed on the screen. If not checked, all records are displayed but
those that are not included will have the student’s name highlighted in
orange.
- Harcourt records with “TT”
for the grade level (“Test Taker”) will now be marked as Excluded and
thus not used on SOA reports.
- On the Overview of
Student Test Scores screen, the year selector in the Filter By…
Date section will now narrow the results to a corresponding school year
if a particular season is not selected. For example, selecting “2005” will
display all testing periods within the 2004-05 school year (Fall 2004, Spring
2005 and Summer 2005).
- Test records that have not
been processed by the normal post-import processing will display the test’s
name in red on the Overview of Student Test Scores screen. This
allows users to quickly spot potential problems due to this, as they are
difficult to diagnose otherwise. Unprocessed test records rarely show up on
reports. To process test records, use the Update Test Records
utility within Data Utilities.
- The State Testing
Identifier (STI) field has been added to the system. This field is now
displayed on both the Individual Test Scores and Student
Demographics Information screens. This field is also now included in
the routines to match up incoming testing data with existing testing data, as
well as in the routines to identify potential duplicates. Note, however, that
this field has only been just introduced in the Fall 2005 data, so will not
assist with merging existing data prior to that date.
- The NCLB WORKSHEET reports
(QuickFinder Codes: PRNCLB and PRNCLBS) have been updated to adjust the number
and percentage of students that are considered proficient when the 1% limit on
proficient Alternate Assessments is exceeded.
- An internal naming issue was
preventing reporting categories for Plain English Mathematics (“LEP Math”)
tests from showing up on reports, even though they would appear on the
Overview of Student Test Scores screen. This issue will be fixed by
the Data File Update process for this build.
- The SOL TEST SUMMARY reports
were in some cases not displaying all applicable reporting categories when
tests fell under multiple standards (i.e.; 1995 or 2001). To fix this, each
graph for each standard has been set to a fixed height of half the height of
the entire reporting category section. This will allow both standards to
display properly in these cases. For tests that only contain one standard,
the reporting categories will not expand to fill the entire reporting category
section. These reports have also been greatly optimized and will generate
much quicker than before, with almost instantaneous page turning.
- The Asian and Pacific
Islander ethnicity has been changed to Asian, and the Native
Hawaiian ethnicity has been changed to Native Hawaiian/Other Pacific
Islander.

Advanced Searches, additional “NOT” Joins have been added to the
system that allow you to require that subsequent expressions in parenthesis
are not true to return results. For example, you can now create a search
like:
A and not (B
and C)
This equation reverses the evaluated value within the parenthesis.
Build 58
- The routines that
automatically calculate whether tests are used on AYP reports (set the Use
for AYP checkbox) may not have set these in certain circumstances for
newly imported data. However, if this had been the case no tests would show
up on AYP reports for a given period. The underlying problem has been fixed,
and it is recommended that users check tests for more recent testing periods
via the Overview of Student Test Scores screen to ensure that
these checkboxes have been set (usually at least ½ of Math and English tests
within a given period are checked). If there are periods where no tests are
checked, you may re-run the process by going into Utilities,
then Data Utilities, and on the Update Test Records
tabbed page check the box to process all test records then click on Update
Test Records Information. Depending on the amount of data, the entire
process may take a few hours to complete. Note that the Data File Update
process for this build will actually check to see if there are tests from Fall
2004 and on that are flagged for AYP, and prompt the user to run the AYP
flagging process if not.
Build 57
- The format of the Stanford English Language
Proficiency (SELP) data significantly changed and the import routines had
to be modified to accommodate for the changes. Some of the changes are the
addition of a Preliteracy level SELP test (SELP-PL), revision of the strands
that are used at the various levels, and the changing of the scale used for
main scores from 1-5 to 1-4. Note: tests classified as Monitor Year 1 or 2
status will be designated as such in the Additional Info #1 field.
Build 56
- A problem introduced in
build 55 prevented the Reporting Category section from appearing on the
Overview of Student Test Scores screens. This has been fixed.
- When the program was
modified (build 41) to import testing and SPBQ data under the two standards
(1995 or 2001), a bug was introduced that prevented the import of
Multiple-Choice SPBQ data prior to Fall 2004. Although the Import Log
does register the errors that prevent their import, the final page of the
Import Wizard that displays import record tallies did not display
these as skipped, so the fact that they were skipped may not have been obvious
to the importer without examining the logs. Most users that imported their
data in a timely manner will not be affected by this because the data would
have been imported prior to the introduction of the bug. However,
re-importing the data or importing it for the first time after the
introduction of the bug would replicate the problem. To determine whether
this issue affects your data, you can either go into the Overview of
Student Test Scores screen and filter down to an earlier period and
test (i.e.; Math-05 for Spring 2004) and examine whether SPBQ data exists.
Another method is to go into Utilities, then Logs,
and under the Imported Files Log section click on View Form.
In the list, locate a Multiple-Choice SPBQ file prior to Fall 2004. If
no record tallies appear in the colored sections to the right, then no SPBQ
data was imported for that file due to the problem. Re-importing the data
with the latest build will import the data properly.
Build 55
- The program has been
changed so that it will no longer maximize to the full size of the screen by
default. This is due to larger screen resolutions in general. Users may now
change the program to whatever size they desire (by dragging the screen
edges). Even though any currently open screens will not adjust when this is
done, any screen opened after the resizing will adjust automatically. If
users still wish to maximize, they may click on the upper-right Maximize
button on the Title Bar of the main window.
- A new AYP report filter has been added
that allows you to display only tests that are used in Annual Yearly Progress
calculations on virtually any report in the system. Note that when using this
filter, only Math and Language Arts tests will appear on the report.
- The NCLB WORKSHEET reports (QuickFinder Codes:
PRNCLB and PRNCLBS) have been updated to display information regarding whether
all students (or NCLB subgroups) have exceeded the new 1% limit on proficient
Alternate Assessments. These reports will display a visual indicator whether
or not this limit has been exceeded.
- The STUDENT LISTING OF TEST RESULTS, LISTING,
BY STUDENT (QuickFinder Code: SULE) report was truncating the period names
when a longer period (like “Summer”) was displayed. This has been fixed.
- The STUDENT DEMOGRAPHIC SUMMARY, NCLB
SUBGROUPS (QuickFinder Code: DENCLB) report was not displaying LEP figures
accurately. This has been fixed. In addition, the Disability graph was
removed since this is not used for NCLB. “Students w/ Disabilities (SWD)” is
used for NCLB, which is synonymous with “Special Education”. The Disability
graph included Section 504 students, which are technically a disability but
are not included in NCLB SWD calculations.
- When clicking on Print Test Summary
from the Individual Test Scores screen, the report would always
display “N/A” for the Modified Standard Diploma, even when the student
qualified for it. This has been fixed.
- Report filtering was changed in build 54 to
use Economically Disadvantaged (ED) in lieu of Free or Reduced Lunch.
However, reports were still displaying “Free/Reduced Lunch” in the report
footer. This has been changed to display “Economically Disadvantaged”.
- Build 54 introduced an error when merging
students. If a merge was performed, an error message would appear and the
deleted demographic record would not have been backed up. This would
negatively affect restoring the record later if it was mistakenly merged.
However, the merge itself would have been successful. The error has been
fixed and the deleted student record will now be properly backed up.
Build 54
- An Economically
Disadvantaged field has been added to student demographic records. This
was done due to the shift within the Harcourt data away from reporting
Free/Reduced Price Lunch status in lieu of a single Economically Disadvantaged
field. During the Data File Update, this “ED” field will be populated
based on students’ current Free/Reduced Price Lunch status. Students marked
as either Free or Reduced Lunch will be marked as ED. Students imported since
the change in the Harcourt data will retain accurate designations because
students with the ED field marked were imported as “Free Lunch” in the
interim. The FRL field display and filter has been removed from the
Student Demographics Information screen and replaced with an ED field
display and filter. Please keep in mind that this change has in no way
affected the accuracy of reports that use ED status (like AYP reports) because
there already is an ED field within the test records that is used for that
purpose.
- The Harcourt
Multiple-Choice layouts had a few changes starting in Fall 2004 and the
program has been modified to accommodate for these. First, individual test
forms can now be specified for each Multiple-Choice test, instead of a
single test form for all. In addition, Harcourt added a Test Number field to
the Multiple-Choice SPBQ data and SOL Tracker’s import mechanisms can
now differentiate between normal SOL Math tests and the LEP Math test and
therefore import the LEP Math item analysis data.
- The Stanford English
Language Proficiency (SELP) test is now counted as an acceptable alternate
assessment for AYP reports. These students should have an Exception Code
of 993 in the SOL testing data indicating that the SELP was administered
instead (a code of “914 - Alternate Test” is also acceptable). When marked as
such, the AYP reports will ignore the student’s SOL test record that is
excluded and count the alternate test for both participation and achievement.
Note however that if the alternate test record (either SELP or VA Alternate
Assessment) does not exist within the system, this will negatively impact both
the participation and achievement rate that is reported.
- Stanford Achievement
Tests 10th Edition (aka “Stanford-10”) can now be imported.
These tests use the same reports as Stanford-9, and are similar to the
Stanford-9 tests within the system. Although the test names used for strands
are the same between Stanford-9 and Stanford-10, the particular strands
administered at any given grade level does differ depending on the test form.
All references to these tests have been changed from “Stanford-9” to
“Stanford-9/10” within the system.
- The DETAILED COUNT OF TEST
RECORDS IN TESTING PERIOD, BY SCHOOL (QuickFinder Code: SUCTD) report was not
accurately reporting the number of students in the Unadjusted column
due to a recent change in the Unadjusted filter set to include students marked
as Excluded. The report has been updated to accurately reflect the
updated filtering.
- When clicking on Print
Test Summary from the Individual Test Scores screen, a
prompt now allows you to specify whether or not to include reporting category
information on the report.
Build 53

Previously, AYP achievement reports counted tests given a Non-Standard
Accommodation as not proficient, regardless of the score. This has been
changed to align with State DOE reporting and tests given Non-Standard
Accommodations are now counted normally for AYP achievement. Note that these
tests were and still are counted toward AYP participation.
- The Load State Pass Rates
utility was not properly fixed in the previous build, but is operational now.
Build 51
- The Load State Pass Rates
utility would generate an error and fail to load the data. This has been
fixed.
- The STUDENT CORE TEST
RESULTS, BY SCHOOL (QuickFinder Code: SUCOR) report might have displayed
inaccurate information depending on the sorting order chosen for the report,
or the particular filtering mechanisms. This has been fixed.
- The STUDENT CORE TEST
RESULTS, STUDENTS PASSING CORE TESTS, BY SCHOOL (QuickFinder Code: SUCORP) and
the STUDENT CORE TEST RESULTS, STUDENTS FAILING CORE TESTS, BY SCHOOL
(QuickFinder Code: SUCORF) reports have been changed to accommodate for
End-of-Course tests. Previously, they only allowed grades 3, 5 and 8.
- The PERCENT IN EACH QUARTILE
(QuickFinder Code: S9PQ) report was prompting for a parameter and would not
display data. This has been fixed.
- The INDIVIDUAL STUDENT
PERFORMANCE BY QUESTION (QuickFinder Code: RCQ) report was combining data for
multiple tests given during the same testing period. This has been changed so
that each is broken out separately.
- The % PASSING, BY SELECT
FIELD, BY TEST (QuickFinder Code: PRD) and the % PASSING, BY SELECT FIELD, BY
TEST, BY SCHOOL (QuickFinder Code: PRDS) reports were generating an error when
using any true/false type of demographic field (i.e.; Economically
Disadvantaged, LEP, Transfer, etc.). This has been fixed.
- The Test Mass Deletion
utility was generating an error when deleting large numbers of records. An
artificial limit of 40,000 records per delete has been put into place to avoid
problems.
- Due to a typo in a previous
list of descriptors from HBEM, descriptor #411 under 8th grade Math
was inaccurately labeled as “Identify correct adverb and subject-verb
agreement” when it should have been labeled as “Solve a practical problem
using proportions”. The reporting of the scores for this item was correct,
however, even though the label was inaccurate. The Data File Update
process will fix the label for this descriptor.
- Two reports were added that
display graphs of SPBQ trends over multiple years. These reports include
QuickFinder Codes RCOQXSG and RCOQXFG. Please note that although we have
provided these reports due to multiple user requests, there are inherent
problems in analyzing their data. Although these reports group by descriptor
across all test forms and standards, the descriptors used change fairly often
between years thus making meaningful trend analysis difficult.
Build 50
- Several unpredictable errors occurred in build
49, but only on particular computers. We believe that these may have stemmed
from an Office Update that was optionally performed on certain computers which
caused an incompatibility in an associated Windows library. Build 50 has had
all the latest Office Updates installed, and it is recommended that users
apply all Office Updates (http://office.microsoft.com/officeupdate)
and Windows Updates (http://windowsupdate.microsoft.com/)
from the Microsoft web site, and install SOL Tracker full installation file
versus the web update file if problems persist.
- The NCLB WORKSHEET, ADEQUATE YEARLY PROGRESS
(11 X 14 SIZE) report (QuickFinder Code: PRNCLBS) produced and error when
generating. This has been fixed.
- The % PASSING, BY SELECT
FIELD, BY TEST report (QuickFinder Code: PRDG) would open with no data inside
the graph. This has been fixed.
Build 49
- The
Data File Update process will set the Standards for Math (both normal and
LEP), Science, English RLR and Writing for grades 3, 5 and 8 to “1995” instead
of “2001” for all data in the system. Even though there is no difference
between the two standards for these subjects (only History and Social Science
is different), the 2001 label was inappropriate and caused confusion.
Build 48
- Changes
to the import routines were required to accommodate for importing SPBQ data
for Multiple-Choice tests under the new 2001 standards. Please be
advised that while LEP Math (Plain English) test records (which are included
within Multiple-Choice pupil data files) are imported by the system,
the corresponding SPBQ data for LEP Math tests cannot be imported. The
reasons for this are technical but stem from a design flaw in the Harcourt
layouts where Multiple-Choice pupil files include a Test Number
field in order to differentiate the tests but the SPBQ files do not.
Version 4.1 (Build 47)
- The new History “Breakout”
tests have been added to the system. These tests, which consist of United
States History to 1877 (USHist-05), United States History from 1877 to
Present (USHist-06), and Civics and Economics (CD-07), can be given
in place of the traditional 8th Grade History and Social Studies
(HSS-08) SOL test. This data is published by Harcourt on separate disks that
are in an End-of-Course format (SOL Tracker will recognize them as
such), which can be imported into the program through the normal import
mechanisms.
- Under the SOL Test Status
grid on the Individual Student Test Scores screen, columns for 6th
and 7th grade have been added so that tallies can be viewed for the
new History “Breakout” tests. Please note that both the United States
History to 1877 (USHist-05) test and the 5th grade History and
Social Studies (HSS-05) [also known as “Virginia Studies”] will show up in the
5th grade column, because they are both technically 5th
grade tests (even though HSS-05 can be administered to 4th
graders).
- The Stanford English
Language Proficiency (SELP) test can now be imported into the system
through the normal import processes used to import other Harcourt data. The
SELP Primary (K-2), Elementary (3-5), Middle (6-8) and High School (9-12)
tests have been added to the system as follows: SELP-PR, SELP-EL, SELP-MI and
SELP-HS. For school years 2003-04 and 2004-05, the DOE has mandated that this
test can be used in place of the 3rd, 5th or 8th
grade English Reading SOL assessment for Level 1 or 2 LEP students, or LEP
students in their first year of U.S. schooling. Due to the comprehensive
nature of the SELP test, the import routines will also create a test record
for just the Reading component of the test with the Reading strand’s raw score
as the primary score. The DOE has mandated the following proficiency levels
based on the Reading raw score: 15 for 3rd grade, 16 for 5th
grade and 20 for 8th grade. Only SELP tests that were marked as
eligible to be used in place of the SOL English Reading test will have these
extra test records created on import. The Reading component tests have been
added to the system as follows: SELPReading-03, SELPReading-05 and
SELPReading-08. These separate test records for the Reading component is used
by the system for AYP reporting --- the original comprehensive SELP test
record is not.
- Three additional fields have
been added to test records: Additional Info #1, Additional Info #2 and
Additional Info #3. These fields are viewable on both the Overview of
Student Test Scores or Individual Test Scores screens.
These fields were designed to house specialized import data for particular
tests that are not accommodated for by existing test fields. Since these
fields are multi-use depending on the particular test, they will be formatted
with the label of the information, then a colon, followed by the value. In
particular, the SELP tests use them in the following manner:
Screening Test (SELP Field #46) is imported into Additional Info
#1 (i.e.; “Screening: Yes”)
Purpose of Test (SELP Field #47) is imported into Additional Info
#2 (i.e.; “Purpose: Placement/Identification”)
Years of Schooling in U.S. Schools (SELP Field #49) is imported
into Additional Info #3 (i.e.; “Yrs US School: 5+”)
- The S-Code field is
now imported from Harcourt data. This field designates that a non-enrolled
student is retaking a test for credit. This field has also been added to the
list of Advanced Search and import/export fields.
- Added Standard to the
list of Advanced Search and import/export fields.
- User licenses can now be
entered via a prompt, instead of always requiring the information on a License
Disk. This allows License Keys to be emailed to customers, where they can
copy and paste the information easily.
- The algorithm behind
filtering report results to students within particular grades had a logic
error that prevented proper operation if the student would be currently
classified as grade level “13+”. This has been fixed.
- The feature to check a local
network for AutoUpdate’s was not working properly and would not recognize the
availability of a new build of the software. This has been fixed, and will
work properly now, as well as retain the settings after upgrading. In
addition, support for specifying URL’s on an Intranet has been added.
- The option to turn off
External Data Linking for a local computer (on the External Data Linking
tabbed page of Program Settings and Maintenance) was not
functioning properly, and only the global setting within the Data File
controlled whether the feature was turned on or not. The local setting is not
taken into account as well, and both must be enabled for External Data Linking
to be enabled on a given installation.
- The Participation
field was not being set properly for tests with both a Non-Standard and
a Standard Testing Accommodation. This caused tests with both types to show
the blue “SA” icon on both the Overview of Student Test Scores
or Individual Test Scores screens, instead of the red “NSA”
icon. During the Data File Update process, the Participation
field will be re-evaluated and set properly, and the import routines have been
modified to set this properly. Note that this problem did not affect the
proper import of Accommodations, whether Standard or Non-Standard, but only
the display of this icon on these screens or when using an Advanced Search
with the Participation search field.
- Previously, tests given a
Non-Standard Accommodation were included in AYP reports under their original
proficiency levels. This has been changed, and now reflects Federal NCLB
guidelines by counting any test given a Non-Standard Accommodation as Not
Proficient, regardless of the test score.
- Previously, the
Free/Reduced Price Lunch status was used for classifying given students
within the “SES” subgroup on AYP/NCLB reports. However, this has been changed
to use the Economically Disadvantaged field instead. For SOL data,
this field is only explicitly included in End-of-Course tests.
However, the import routines have been modified to flag this whenever the
student is classified as Free or Reduced Price Lunch. In addition, the
Data File Update process will also set the Economically Disadvantaged
field for existing data within the system based on the student’s
Free/Reduced Price Lunch status.
- A checkbox option been added
to the Edit List of Tests utility that allows you to
include/exclude particular tests from AYP/NCLB reporting. This is set by
default to include all 3rd, 5th, 8th and
End-of-Course English Reading and Math SOL’s, Alternate Assessments and
Substitute Assessments.
- On the PROFICIENCY LEVELS BY
NCLB SUBGROUPS reports (under SOL Test Proficiency Levels report
button), two new reports that group by content area have been added
(QuickFinder Codes: PLNCLBC and PLNCLBCS). In addition, all of these reports
now display as horizontal bar charts and display the number of students tested
in each subgroup next to each bar.
- On the RETESTS, RECOVERY AND
EXPEDITED RETAKES, SUMMARY OF RETAKEN TESTS (QuickFinder Code: SURTK) report,
there was a logic error that was incorrectly calculating cases where a student
took an expedited re-take. This miscalculation essentially cancelled out any
performance gains by these students. This has been fixed. Please note
however that multiple test records given during the same testing period
without one properly marked as an expedited re-take will skew the results.
Use the DUPLICATE RECORD, DUPLICATE STUDENT TEST RECORDS (QuickFinder Code:
DEDUP) report to identify tests such as these and take corrective action.
- On the RETESTS, RECOVERY AND
EXPEDITED RETAKES, LISTING OF RETAKEN TESTS (QuickFinder Code: SURTKL) report,
the report was updated to display the mean score and performance gain for each
student.
- On reports that did gap
analysis (either reporting categories or item analysis), the selections for
the baseline value to compare against would sometimes not appear as clearly.
For example, when using LEP the selections in the list would be 1 or 0. This
has been changed to display more meaningful labels, such as “LEP” and “Not
LEP”.
Build 43
- Four versions of Deb
Wahlstrom’s “Safe Harbor” report have been added to the system. These reports
are designed to show non-proficiency trends between years, and determine if
schools or the district have reduced their non-proficiency rates by at least
10% from the previous year to qualify for Safe Harbor. These reports are
under the “SOL Test Pass Rates” reports button.
- The Unadjusted report
filter set has been changed to include test records marked as Excluded.
It was felt that most users that run reports with the Unadjusted
filters are concentrating on improvement for all students (as opposed to the
Adjusted filter set which attempts to match the students used by the
state for published pass rates) and therefore would want to include as many
students as possible. This change will in most cases display a few more
students on reports than the previous default settings, and they will be
primarily students that are LEP, are Transfers, or had non-standard test
accommodations.
- Some reports that centered
around demographic information were checking the Advanced Filters to
use DNA’s, Recovery tests, Retests, Expedited Re-Takes and 999’s, but these
filters were disabled and could not be turned off by the user. This has been
changed, and although the default for these types of reports has not changed,
the user can now change any Advanced Filter.
- When adding a new student
record from the Student Demographics Information screen, an
error would prevent its creation after typing in a Student ID. This has been
fixed.
- There was a logic error on
the Individual Student Test Scores screen when calculating
whether students met the Modified Standard Diploma requirements. This is
related to the new cutoffs that were added in build 41. The error would cause
any score for 8th Grade English RLR and Math to count towards the
Modified Standard Diploma, instead of using the cutoffs of 300 and 360
(respectively). This error was isolated to this screen, and did not affect
reports that display diploma statuses. This problem has been fixed.
- When running any two “By
Select Field” reports back to back, an error message would sometimes be
generated for the later report, immediately prior to selecting the field to
group by. The error would not always appear and would not affect the outcome
of the report. This has been fixed.
- The STUDENT TEST DETAILS, BY
SCHOOL, BY TEST report (QuickFinder Code: SUTDS) was displaying the name of
the first test at the header of each page regardless of the test records
displayed, and the count of students displayed was the total for the report
instead of the total for the test. These have been fixed.
- The STUDENT TEST DETAILS, BY
SCHOOL, BY STUDENT report (QuickFinder Code: SUTD) was displaying the total
number of tests at the top of each page, while labeled as the number of
students. Due to this report’s design, the number of students cannot be
accurately calculated, so this total has been removed from the report.
- There was a logic error in
the reports under the STUDENT CORE TEST RESULTS heading of the SOL TEST
SUMMARIES report button that if the default filters were changed to include
DNA’s and students that passed the test in a previous administration (999’s),
the report would inaccurately count these two groups as a “Pass”. While that
was accurate for 999’s, it was not for DNA’s. This has been fixed, and DNA’s
now show up as a “Fail” for the report.
Build 42
- The newly implemented system
in Build 41 for importing Expedited Re-Takes data for 8th
Grade English RLR and 8th Grade Math did not properly import the
SPBQ data for these tests, and resulted in most SPBQ records for these
Expedited Re-Takes being skipped. The import routines have been modified
to fix the problem.
- The SOL TEST SUMMARY, BY
SCHOOL (QuickFinder Code: SUS) report was not reporting correct percentages in
the proficiency stacked bar chart, and would exceed 100% when totaled. This
has been fixed.
Build 41
- The software has been
modified to allow using Microsoft Access 2003. However, if Access XP (2002)
full version or Runtime is simultaneously installed, the software will prefer
to run in that version. Access 2003 users will need to set their Macro
Security setting to Low in order to avoid a prompt every time SOL Tracker is
started. This can be done by starting Access 2003, then going to the Tools
menu choice and selecting Macro, then Security, choosing the
Low setting and closing Access. Note that this is a global setting for
each installation of Access 2003, and will avoid a security prompt when
running any MDB file.
- The “Category D” AYP
Category was not in the system previously because, although available within
the Harcourt data, it was not used. However, if any bubble sheets were mis-marked
as Category D, they would have been imported into the system but would be
“hidden” from view on screens and reports. This is due to the missing entry
in the list of AYP Categories within SOL Tracker. Even though the category is
still not used, an entry for it has been added to the list, and any test
records classified as such will become visible. Note that any tests marked as
Category D must be inaccurate because the category is not used (although
available on the bubble sheets). Any test marked as such will be excluded
from AYP reports, which may or may not be accurate.
- A new Expedited Re-Take
field was added to the Harcourt Multiple-Choice pupil data starting in Fall
2003 (for 8th Grade English RLR and 8th Grade Math
only). However, this new field was not added to the import routines or the
downloadable Test Formats for that period. The import routines have
been modified with this build to recognize this field for Multiple-Choice
tests, and the Test Formats have been updated on the web site. If you
administered any Expedited Re-Takes for 8th Grade English
RLR or 8th Grade Math tests during Fall 2003, you will need to
delete those tests from the data, download and install the latest Test
Formats, then re-import from the Harcourt data in order to reflect this
field accurately in the data. Since Expedited Re-Takes usually arrive
on their own CD, you should delete ALL Multiple-Choice for Fall 2003, then
re-import ALL Multiple-Choice files during Fall 2003. If you did not
administer any Expedited Re-Takes during that period, then no action is
required.
- The requirements for the
Modified Standard Diploma have been changed by the DOE to allow students
earning a scaled score of 299 or above on the 8th Grade English RLR
test to meet the literacy requirements, and students earning a scaled score of
360 or above on the 8th Grade Math test to meet the numeracy
requirements. These changes are retroactive to previously administered
tests. SOL Tracker has been modified to accommodate for these changes, and
any report or screen that reports Modified Standard Diploma statuses will use
the new guidelines.
- A special report has been
added to identify students that now meet the Modified Standard Diploma
requirements, but did not before the changes to the literacy and numeracy
requirements for the 8th grade tests. This report is TESTING
SUMMARIES, STUDENTS MEETING RETROACTIVE MODIFIED DIPLOMA REQUIREMENTS
(QuickFinder Code: GRRETMSD). Note that this report only displays students
that had not previously met the requirements, and will prompt for a grade
level range of students to display. For a list of all students that currently
meet the Modified Standard Diploma requirements, you can run the TESTING
SUMMARIES, STUDENTS AND HIGH SCHOOL DIPLOMA REQUIREMENTS (QuickFinder Code:
GRHSDR) report. This report lists all diplomas, but combining it with an
Advanced Search the limits to only Special Education students will likely
filter down to just Modified Standard Diplomas.
- The import routines were
modified to accommodate for the import of SPBQ information under the new 2001
Standards, as well as maintain backwards-compatibility with the 1995
Standards. Both sets of information can be imported, and the import routines
will automatically link the item descriptors with the proper Reporting
Categories of the various Standards. No additional user actions are required
to import this data.
- All reports displaying
Student Performance By Question (SPBQ) results have been modified to group by
testing Standard, since the question sets under the varying Standards are no
longer directly comparable. All aggregate figures, including School and
District percentage of students answering correctly, are linked to the
Standard and Core group and will not aggregate on non-comparable information.
For example, a report page grouped on the 2001 Standard and Core 1 group that
displays the percentage of students answering correctly within the district
will display the percentage answering correctly within the 2001 Standard and
Core 1 group. The 1995 Standard is not included, nor are the other Core
groups (for that particular page).
- The DETAILED COUNT OF TEST
RECORDS IN TESTING PERIOD, BY SCHOOL report (QuickFinder Code: SUCTD) did not
present the context menu when right-clicked on. This has been fixed.
- The SOL TEST SUMMARY, 3-YEAR
TREND, BY SCHOOL report (QuickFinder Code: SUS3) was printing an extra page
due to the Reporting Category graph extending too far down the page. This has
been fixed.
- The Print Test Summary
report from the Individual Student Test Scores screen or the
TESTING SUMMARIES, INDIVIDUAL STUDENT SUMMARIES report (QuickFinder Code:
GRISS) were not taking any Grade Modifiers into account when displaying a
student’s grade level. This has been fixed.
- The checkboxes to indicate
whether the student has met the Standard or Advanced Diploma Requirements on
the Individual Student Test Scores screen now display “N/A” when
a student is within a particular Graduation Track where they are not eligible
for a diploma. In addition, the tip that is displayed when the mouse moves
over these checkboxes now displays the specific requirements for each diploma
based on the assigned Graduation Track and Transitional status. Previously,
they just displayed the requirements for the “Standard” Graduation Track
(non-Transitional). In addition, the numbers displayed for the tallies on
“Student Choice” now reflect the student’s particular Graduation Track and
show the excess number of credits over any particular subject’s requirements
that can be applied as a “Student Choice”.
- Removed a bottleneck found in the routines
that receive transfer information from other copies of SOL Tracker. This
should result in faster importation of information such as Student Transfer
Records and Dissemination Sets (non-Complete Replacement Sets).
- The feature to automatically set the
Special Category field to “Special Education” for particular disabilities
when data is imported has been enabled by default for new Data Files.
In addition, the list of disabilities that correspond to Special Education
classification has been changed to include all except for “Handicapped Under
Section 504” to match state standards. These changes will not affect existing
Data Files, but only newly created Data Files.
Build 40
- The Print Test Summary
report from the Individual Student Test Scores screen was
sometimes not displaying data, depending on the last report run from the
Printed Reports, Graphs and Charts screen. This has been fixed so
that it always displays data regardless of the last report run.
- An error was preventing the
STUDENT GRADUATION STATUS WORKSHEET report (QuickFinder Code: GRGRAD) from
running. This has been fixed.
Build 39
- The SOL TEST SUMMARY reports
were formatted in such a way that the Mean Reporting Category Scores graph was
overrunning the page for some tests. This has been fixed.
- An error would occur when
running an Advanced Search with a search field using any of the user
prompt (@Prompt) functions. This error occurred only with search fields that
do not contain a set list of values, such as Test Score. This has been
fixed.
Build 38
- Build 37 had a problem with
the import of Reporting Categories for End-of-Course tests under the
2001 Standards. Any End-of-Course data for Fall 2003 imported with
build 37 (except for Writing) will be deleted during the Data File Update
process. The Fall 2003 End-of-Course data will then need to be
re-imported.
- Most reports under the
SOL Test Reporting Categories button that display aggregate data now group
data by the test Standard (i.e.; 1995, 2001) that it falls under. This is
done because several tests have different Reporting Categories under the
differing standards, and aggregating their data would not be meaningful.
- A few reports were removed
because it was not feasible to display the data sorted by Standard in their
layouts. These include:
- MEAN REPORTING CATEGORY
SCORES, MEAN SCORE, BY SCHOOL (Chart layout, QuickFinder Code: RCMSB)
- FREQUENCY DISTRIBUTIONS,
BY RAW SCORE (QuickFinder Code: RCFDR)
- When running an Advanced
Search that prompts the user for an input or selection, and storing those
results using the
Run Search -> Store Results button, the “Processing Search…” message
would stay on the screen. Additionally, the user would be prompted for each
input twice. This has been resolved.
- The SOL TEST SUMMARY, 3
YEAR COMPARISON, BY SCHOOL report (QuickFinder Code: SU3) was overrunning the
page and forcing an extra page for every page with data. This has been
fixed. In addition, a processing bottleneck was found and removed from all of
the SOL TEST SUMMARY reports (i.e.; SU, SU2, SU3, etc.), resulting in faster
report generation.
Build 37
- When clicking on the New ID Format
button from the Edit Student ID Import Filters utility, the
program would lock up. This has been fixed.
- A button to print a list of user security
accounts and their rights was added to the Information tabbed page of
the Security utility. Only users with Administrative rights can
view this list, and Local Administrators (Admins with a school restriction
set) can only see accounts with the same school restriction.
- On the Setup External Field Links page
of the Setup External Data Links utility, there are now buttons
to import or export the list of external field links. In addition, a list
with SASIxp default field links has been posted to the Updates and
Downloads page of the Technical Support web site.
- The process to import course grades via the
Update SOL Tracker from Linked Data utility was modified to use the
same processes (like course grade ‘Forwarding’) as the course grade import
process contained within the Receive Data from Other Source
utility.
- The Data File Update
process now makes a backup copy of the Data File prior to proceeding.
The copy is made to the same folder where the Data File is housed (or
the user is prompted to specify a location if that fails), and the backup is
named the same as the Data File but with a BKP extension. This is done
as a safety precaution to prevent loss of the Data File due to
corruption in the in event of an abnormal occurrence during the process.
Build 36
- A system was implemented to
differentiate between tests given under the 1995 Standards and those given
under the 2001 Standards. These apply to some End-of-Course math and
social studies tests. A new field was added to test records (Standard),
and is displayed on both the Overview of Student Test Scores or
Individual Test Scores screens. In addition, some of these
tests have had changes to the number of questions in each Reporting Category,
and some have had entirely new sets of Reporting Categories created. During
the Data File Update process, all existing SOL tests will be designated
under the 1995 standards. Please
note that some of the functionality of differentiating between the two
standards on reports will be implemented in a future build. We are still
waiting for the release of the Harcourt End-of-Course data file layouts for
more information. Reports that display Reporting Category information will be
modified at that time, as well as any last minute changes necessary for the
import routines. We also plan to address the
issue of the new Social Studies “Breakout Tests” in time to import the Spring
2004 data.
- New filters were added under
the Advanced section on the Filter Report Data with Criteria you
Define screen to accommodate for the new Standards mentioned above.
These filters are Use 1995 Standard and Use 2001 Standard. Both
are checked by default. To exclude tests that fall under either Standard,
uncheck the appropriate box. Note that these apply only to SOL tests, and
unchecking both will likely filter out all tests within the system, resulting
in a blank report.
- When running any of the
reports under SOL Test Reporting Categories & SPBQ, and using the
Advisor filter, a prompt for “TblDemographics.Advisor” would interrupt the
report processing. This has been fixed, and these reports can now be run
using the Advisor filter.
- Added feature to control the
timeout length (in seconds) when attempting to check for AutoUpdates or
sending error logs. This is by default set to 10 seconds, but can be adjusted
via the Program Updates tabbed page of the Program Settings and
Maintenance utility.
- The
Add New Test Record utility was modified to include the new
Standard field. When using this tool, the list of Reporting Categories
will not populate until the user selects both a Test Name and
Standard from the list. This is because the same test can have different
Reporting Categories under the different Standards.
- When processing a merge list
from the Work with Merge List utility, the routines that check
for and prompt the user about overlapping test records have been modified to
exclude any tests marked as Retest, Expedited Re-Takes,
Recovery or DNA (where the student didn’t sit for the test) because
there can be multiple tests marked as such within the same testing period for
a student. In addition, when the merge process was complete, a prompt would
state that there was a problem, regardless of whether a problem was
encountered or not. This has been fixed.
- The course grade
“forwarding” option within the Receive Data from Other Source
utility is now saved/loaded from specification files.
- When using the
Receive Data from Other Source utility, and importing course grades
with the Course Grade Information Only option plus the option to export
skipped records to an external file, records that are not imported or skipped
will have a short explanation exported on the same line as well as the
original information.
Build 35
- The course grades import mechanisms in the
Receive Data from Other Source utility were not properly "forwarding"
course grades from students where they failed the test but passed the course.
These routines are supposed to carry the imported course grade forward to any
retests that do not already have a course grade. The idea is that if the
student passed the course, they are not likely to retake the course but will
merely retake the test. This "forwarding" method allows the future tests
to use the passing course grade for verified credit evaluation. The
problem that prevented this from functioning properly has been fixed.
There is now an option when using the
Receive Data from Other Source utility to perform this process on all data
in the system after the import. In
addition, the Data File Update process will perform this "forwarding"
process on all
existing data within the system for the attached Data File when updated
to this build.
- The VERIFIED CREDIT search field (in
Advanced Searches) can now find cases where the verified credit status is
unknown due to a missing Course Grade (designated by the purple "?"
symbol).
- When using the Receive Data from Other
Source utility, an error message would appear once for every column
(field) when populating the display on the Match Import Fields to SOL
Tracker Fields screen. This has been fixed, although the error did
not affect the importing of data but was merely a nuisance.
- The option within the Setup External Data
Links utility to use either 3 or 4-digit school codes has been removed, as
the software will locate files regardless of the number of digits used for the
school code in the external file names through the use of a wildcard.
- There was a problem with the merge process
from the Work with Merge List utility. The process would lock up
the computer, and the merge list would be cleared, but no merges would be
performed. This has been fixed.
Build 34
(General Release of Version 4.0)
- Added special handling during import for the
change in the Ethnicity codes list starting in Fall 2003.
- Modified SPBQ importing to accommodate for the
possibility of students taking multiple administrations of a test (under
different forms) during the same testing period.
- The sorting order on the Individual Test
Scores screen was changed so that Expedited Re-Takes will appear
first in the list before tests that are not. This list is sorted
chronologically, with the most recent near the top, so this made more sense
since Expedited Re-Takes are taken later than normal administrations.
- Modified the routines that calculate the
Use for AYP field to mark an Expedited Re-Take test record for use
in AYP reporting when the original administration was marked as a DNA (Did
Not Attempt), because the Expedited Re-Take is actually the first
time the student is sitting for the test. These additional routines will
be performed during the Data File Update process.
- Fixed a problem with the SOL TEST SUMMARY, BY
SCHOOL report (QuickFinder Code: SUS) that was prompting for a school code.
- The PROFICIENCY LEVELS BY NCLB SUBGROUPS, BY
SCHOOL report (QuickFinder Code: PLNCLBS) was omitting the space for a bar on
subgroups that had no students at a given school, but some students in that
subgroup at another school. The result was unevenly spaced bars across
pages. This has been fixed so that all of the designated subgroups for
NCLB reporting appear on every page, regardless of whether a given school has
students in that subgroup or not.
- Prior to using the Import Data from Disk
utility, users will be prompted if the build of the software and the build of
the Data File do not match. This is usually an indication that
one of the two is not up to date, and data problems can result from not taking
advantage of the most recent builds of the software.
- The various layouts under the NCLB WORKSHEET
base report type (within SOL Test Pass Rates) have been changed so that
only Reading tests (not Writing) will appear under Language Arts.
- Fixed a problem with the Screen Size
utility not displaying a proportional size to its settings, and a problem with
screens with status bars displaying larger than the visible screen when the
display resolution was set to 800x600.
Build 33 (Beta)
- The starting of the Overview of Student Test Scores
screen has been significantly sped up, including when changing the Filter
By... and Sort By... selectors. In addition, the screen will
now display its initial view based on User Preferences, which can
be set from the Program Settings & Maintenance utility. A new
display option (Current School Year) has been added. Unless set
otherwise, this is now the default view for users. If a user has already set their viewing preference,
it will not be affected by this change. This only affects users that
have not set a preference for this.
- A new field was added for test records.
This field is labeled Use for AYP on both the Overview of Student Test Scores
screen and the Individual Student Test Scores screen. This field
is calculated for existing data during a process that will run when upgrading
to Build 33, and for new data during the Update Test Records process
that is run after import or manually from its tabbed page on Data Utilities.
This field controls whether a test record appears on Annual Yearly Progress
(AYP) and No Child Left Behind reports. When calculated, only the
very first administration of any given test for a student will be checked.
This will prevent tests that were either properly (retook the course) or
improperly NOT marked as a retake from showing up on these reports.
- The pictures for the Tour of What's New
were not showing up on some computers. This has been fixed.
- The new Ethnicity Native Hawaiian has
been added.
- There was a problem within the Student
Records Transfer utility that prevented the copying of individual student
records to disk. This has been fixed.
- Filtering mechanisms were added to the Work
with Merge List screen that allow you to filter the possible matches
displayed on the screen, plus the right DOB field has been color coded based
on if the DOB's match or partially match. In addition, the routines used
to locate possible matches have been modified to score matches higher (+15%)
when one Student ID is contained by the other (and both ID's are at
least 5 characters) which often is the case when you have some years with
zero-padded Student ID's and some years not (i.e.; "00000123456" and
"123456" are more likely to be the same student).
Build 32
(Beta)
- In the SOL Tests Status grid of the
Individual Test Scores screen, the End-of-Course column now shows
two numbers. The first number displayed shows the number of credits
applicable toward the Standard and Modified Standard Diplomas. The
second is the number of credits applicable toward the Advanced Studies
Diploma, which only allows SOL or Substitute Assessment tests (no Local
Awards).
- A new Advanced Filter was added to the
Filter Report Data with Criteria you Define screen. This filter
allows you to also filter report data by Free/Reduced Price Lunch (FRPL)
status, and its functionality is similar to the existing filters.
- The Identify Likely Retests utility was
removed. The utility was designed to automatically find and mark
subsequent administrations of the same test as a Recovery or a Retest if they
were mistakenly not marked as such within the Harcourt data. However,
students can retake a test and not be marked as a Retest if they also repeat
the course. SOL Tracker has no way of distinguishing between when the
student retakes the course or not, so the utility was removed.
- AYP reports were modified so that Category A
(transfer within district) students are included in district-level figures,
and not included within school-level figures. Previously, they were
included in both.
- The DUPLICATE STUDENT TEST RECORDS report
(QuickFinder Code: DEDUP) was modified to also include the D-Code field as a
type of retake, as well as include information related to correcting inaccurately
imported electronic pilot program data. It also now excludes tests that
were not marked as a type of retake, but have different course grades entered
(assumed to be a repeat of the course and therefore not a "RETEST").
- In some cases, errors were being logged but
not displayed on the screen. This has been fixed.
- If the Student Demographics Information
screen were unlocked for editing, then the user used one of the Find By...
selectors to move to a particular record, the editing would lock although
the status bar would show that it is still unlocked. This has been
fixed, and the same locked/unlocked state will be retained after using the
Find By... selectors.
- You can now change the Recovery or
D-Code field from either the Overview of Student Test Scores or the
Individual Student Test Scores screens.
- The Screen Size utility would open, but
would be sent to the background and hidden by both the Program Settings and
Maintenance and Utilities screens. It now will now display
properly.
- The Backup utility has been moved from
Data Utilities to Program Settings and Maintenance. The
reason for this is that other information on the Data Utilities tabbed
pages was locking the Data File, which would prevent the backup from
performing properly.
- The Data File Patches Log has been
moved from Program Settings and Maintenance to Data Utilities.
- The POSSIBLE DUPLICATE STUDENT RECORDS report
(QuickFinder Code: DEPDUP) was missing the right-click menu.
- Most of the Remediation-related reports (i.e.;
GRMLST, GRMSF, GRMLRS, etc.) would show the pre-processing phase, but would
not display the report. This has been fixed.
- Locally Awarded Verified Credits were counting
towards the Advanced Studies Diploma, which was inaccurate. These are
now only used for the Standard Diploma.
- Locally Awarded Verified Credits now show up
by default on reports related to verified credits under the Guidance &
Remediation Reports section.
- The STUDENT GRADUATION STATUS WORKSHEET
(QuickFinder Code: GRGRAD) was sorting by the school of administration instead
of the school of enrollment. This caused some students to be displayed
on multiple times and display the wrong school name.
Build 31 (Beta)
- Modified program and DAT File Viewer utility
to strip out the first blank line that is included with Pearson online testing
files, and to read the proper Season from Harcourt files when there is an "X"
in the first position of the first record.
- Removed the reference to using the built-in
compactor, which is no longer available, from the prompt that reminds about
compacting when the program is started.
- Corrected the "GetNextSearchNumber()" error
message that appeared when generating an Advanced Search for the first time.
- Corrected a problem with the Export utility
that prompted for certain parameters when the process was run.
