Single Record Student Data Files (SRSD) and Why They are Important
Single Record Student Data
File, also known as
SRSD file, is a file
which every school district in America submits three times a year. This file
contains the demographic details of all students enrolled in the school
district. SRSD files are submitted at the end of September, beginning of
February and in June at the end of the school year. The file contains a wealth
of information and identifies critical demographic information on each enrolled
student such as a member of Titled Programs, Students with Disabilities
including primary and secondary disabilities and attendance records.

which SRSD values you can disaggregate by in Tracker. You will note that our
listing of demographics available in Tracker is extensive and it is not
practical to create a separate table for SRSD field definitions. Therefore,
clicking on this link
SRSD Field Definitions will allow you to access
Michigan's Center of Education Performance and Information (CEPI) document which
defines each field.
SRSD files are normally generated
from the district's student management system by the manager of the system. Once
the file has been generated, it is normally forwarded to the IT staff at your
local ISD, RESD, or RESA where it is evaluated for errors and then forwarded to
CEPI. In some cases, the ISD actually manages the school district's Student
Management System and generates the file for submission to CEPI. Therefore,
there are two locations to start looking for SRSD files -- your Student
Management System Supervisor and the IT staff at your ISD.
SRSD files provide critical
information for Tracker users. When made available to the MI Tracker team and
loaded SRSD Files allow users to:
- Generate disaggregating
reports by approximately 100 additional demographics in addition to those report
back in the MEAP results. Examples of how you might disaggregate include
attendance records, Title I Math, and Primary Disability (such as Learning
Disabled, Autism, Physical Impairment etc.
- Allows the MI Tracker team to
"align" the database in order to eliminate demographic errors between MEAP
results and the appropriate SRSD file.
- Supports point and click set up of
classrooms in the MLPP/DIBELS Data Entry Module by populating the students
enrolled for the associated AY year for which the SRSD file is submitted.
Which
SRSD Files We Require?
The
table below matches the SRSD file with the specific MEAP assessment
period it is designed to support. For example, if you desire to
disaggregate using demographics from the SRSD file for the Winter 2004
MEAP assessment period which includes elementary and middle school
results for MEAP assessments administered in February 2004, we must
have access to your February 2004 SRSD File. In the event, an SRSD
file is missing for a given MEAP assessment period, you will not be
able to generate a report with any demographic which comes from the
SRSD file in question.
