Class
Rosters and Why They are Important
Class Rosters are a
listing of teachers and their assigned students for a given academic year.
Tracker is capable of accepting class roster data for as many years as
available. Class roster information is normally stored in student management
systems and can be extracted for a number of years depending on the system your
district uses. The Manager of your Student Management System routinely conducts
"extracts" of student data and normally will be the person you will need to
contact to arrange for the extract of the class roster data.
Class Rosters provide critical
information for Tracker users. When made available to the MI Tracker team and
loaded into class rosters allow users to:
- Generate disaggregating
reports by teacher (and sections when appropriate) either currently assigned
teacher or teacher of record responsible for the instruction of each respective
student.
- Use Teacher and Section
Filters on both the Blue Screen (Student Demographics) and Yellow Screen (Review
Tests) to identify students who are or were assigned to a teacher for the
selected academic year. This is a very useful feature for users to narrow the
field of students quickly to a specific teacher and section when appropriate.
- Supports the automatic
rostering of students in the MLPP/DIBELS Data Entry Module. This file allows us
to set up your class rooms by teacher for the current academic year in order to
promote rapid data entry for MLPP or DIBELS observations.

semester for marking period of the course being taught. For
example, “2” which represents 2nd semester. For
elementary students this field should be left blank. |

The
name of the course identified being taught. For example,
“Algebra II”. For elementary students this field should contain
the student’s home room number. |

Class Section* |
The
section identifying this class. For example, “2nd
Hour”. For elementary students, this field should be left
blank. |

Class Grade* |
The
Grade of students attending this. For example, “1” if this is a
first grade class. If there are students from multiple grades,
choose the median grade level. |

Student’s Last Name* |
The
student’s last name as identified in the SRSD submissions. |

Student’s First Name* |
The
student’s first name as identified in the SRSD submissions.

Student’s Middle Initial* |
The
students’ middle initial as identified in the SRSD submissions. |

Student’s ID Number* |
The
student ID number as assigned by the district as submitted in
the SRSD. |

Student’s UIC Number* |
The
student Universal Identification Code as identified by the state
as submitted in the SRSD. |
|
Student’s Date of Birth* |
The
student’s date of birth as identified in the SRSD submission
using MMDDYYYY format (optionally the MMDDYY option can be
used). For example, “07201994” or “072994”. |

Student’s Gender* |
The
student’s gender as identified in the SRSD submission. |
|
Student’s Grade* |
The
student’s grade as identified in the most recent SRSD
submission. |
Additional
Technical Notes:
The MI Tracker Class
Roster should be formatted as a backslash (“\”) delimited file with
all fields identified below. Mandatory fields are marked in bold,
but even fields that are omitted must be blank (no characters between
the backslashes). There should be one entry for every class of every
student to reflect each student’s schedule. In most cases elementary
students will only have one record which reflects the teacher
associated with their core curriculum (reading, math, social studies,
science) instruction. There may be 6 or 7 lines for a middle school
or high school student depending on how many classes the student has
scheduled.
